Space for events longer than an afternoon

Bozeman Event Space is well suited to the kind of event that does not fit neatly into a single afternoon, whether that is a three-day training program, a regional conference, or a family reunion that stretches across a long weekend. Because the Main and North Ballrooms can be reserved together, a group of 80 or more can hold its general sessions in one room and its breakouts, meals, or hospitality suite in the other, without anyone having to leave the building. Our weekday and multi-day rates are considerably lower than those of the hotel ballrooms in town, and we do not require you to use an in-house caterer, so your budget goes toward the event itself rather than toward a mandatory package. If you are planning something for this fall or winter, I would be glad to walk you through the spaces in person.

Sharing the building

One question I hear often from planners of multi-day events is how the building handles other groups during the same week, and it is a fair question to ask of any shared venue. The Masonic Hall has several separate spaces, including a commercial kitchen and a training room, so it is not unusual for a smaller recurring group to meet during the same week as a larger booking in the ballrooms. I plan setup, turnover, and cleaning around each group’s schedule in advance, and I handle those details personally, so that every group finds the space it reserved ready and in good order when it arrives. Parking is the one limitation I always mention up front: there is no dedicated weekday lot, but street parking and the nearby garage generally serve our guests well, and I am happy to suggest the best options for your dates.

What to arrange ahead of time

For any event at which alcohol will be served, we ask for two documents in advance: a signed alcohol addendum to the facility use agreement, and a certificate of event liability insurance, which can be purchased online in a matter of minutes. These requirements protect you, your guests, and the building’s owner, and they are far easier to arrange two weeks ahead than on the morning of the event. The facility use agreement also asks for your expected group size and the type of event, because those details determine the room arrangement, the number of tables and chairs, and whether assisted setup will be needed. With those few items settled early, the days of the event itself tend to go smoothly, which is, after all, the whole point.
